Upload Your Files

Upload your AMS export and carrier commission statement.

Best Practice: Excel files with clear headers work best. For PDFs, ensure tables have visible borders.

Uploading Files

The upload page accepts two files: your agency management system (AMS) export and the carrier commission statement.

  • AMS File: Your agency management system export (Matrix, Epic, Applied, etc.)
  • Carrier File: Commission statement from the carrier (Swyfft, Progressive, etc.)
  • Saved AMS Files: Save your AMS file structure to reuse across sessions
For PDF files, you'll be prompted to select which pages contain the commission data.

Column Mapping

AI automatically detects column types. The confidence bar shows detection certainty:

90-100% — High confidence, likely correct
70-89% — Medium confidence, review suggested
Below 70% — Low confidence, correction needed
Learning: When you correct a mapping, the system learns. Next time it sees that column name, it will use your correction.

Comparison Types

Choose how to compare columns between AMS and Carrier files:

Exact Match

Values must match exactly (case-insensitive).

Best for: Policy numbers, IDs

Fuzzy Match

Approximate matching with configurable threshold.

Best for: Names, addresses

Numeric Tolerance

Allows small differences (e.g., ±$0.01).

Best for: Premiums, commissions

Date Match

Date comparison with optional range.

Best for: Effective dates, transaction dates

Excel Report Structure

The generated Excel report contains 6+ sheets:

Additional Columns with Agent Splits

When agent splits are configured, the report includes extra columns:

Agent Management

Commission Wizard includes a complete agent management system for tracking commissions, payments, and performance.

Agent List

View all agents with search, status filters (active, inactive, archived), and YTD commission totals.

Agent Detail

YTD metrics, commission history chart, carrier rates, and payment management for each agent.

Commission History

Period-by-period breakdown per carrier with policy-level audit details.

Report Export

Export per-agent reports in Excel or PDF format, filtered by period.

Agents are automatically saved from AMS reports after job completion when using a Saved AMS file with a defined period.

Agent Commission Splits

Configure commission split percentages for each agent per carrier. The split is applied to the carrier commission amount.

Example

  • Carrier commission: $100
  • Agent Elena split: 60%
  • Commission for Elena: $60

Splits are configured in the Agent Splits step after selecting commission columns. Saved splits persist across jobs for the same agent and carrier.

Custom Commission Rates

When the carrier file doesn't include commission amounts, or when agents have negotiated different rates, use custom commission rates to calculate commission from premium.

Formula

  • Commission = Premium × Commission Rate %
  • Commission (Agent) = Commission × Agent Split %
Enable this in the Commission Columns step by checking "Use Custom Commission Rate per Agent". Agents without a configured rate default to 10%.

Running Costs (Agency Fees)

Deduct an agency fee from commission before calculating the agent's split. This represents the cost the agency charges the agent for using its services.

Formula

  • Running Cost = Commission × Running Cost %
  • Net Commission = Commission - Running Cost
  • Agent Commission = Net Commission × Agent Split %
Enable this in the Commission Columns step by checking "Apply Running Cost (Agency Fee)". Running cost range is 0-20% per agent (default: 0%).

Agent Payments

Track payments made to agents and calculate outstanding balances.

  • Balance: Total Agent Commission (all time) - Total Active Payments
  • Payment Methods: Check, ACH, Wire, Cash, Other
  • Void Payments: Soft-delete payments without removing history
Access the payment sidebar from the Agent Detail page. Payment history is organized per agent and includes reference numbers for tracking.

Saved AMS Files

Save frequently used AMS files for quick reuse in future comparison jobs.

  1. 1Upload your AMS file on the Upload page
  2. 2Check "Save this AMS for future use" and give it a name
  3. 3Next time, select it from "Saved AMS Files" dropdown
Saved AMS files remember the AMS name and column structure, making subsequent jobs faster.

Viewer Role for Agents

Go to Organization → Invite User → Role: Viewer → Link to Agent. Viewers see My Dashboard (KPI cards, commission chart, history, policy detail, export) and My Payments (summary, read-only payment list). They cannot access file processing, other agents, org settings, or payment management.

Manual Policy Assignment

In Job Records Detail, go to Carrier Only tab. Select policies with checkboxes. Click 'Assign to Agent'. Search existing agents or create new. The financial chain (rates, running costs, splits) applies automatically. Orange highlight + 'Manual' badge in commission history. Unassign if needed — soft-delete audit trail.

Agent Reports

From agent detail, click Export Report (Excel or PDF) and select a period. Excel includes carrier summary table and policy detail table. PDF is a printable version of the same data.

Agency Financial Dashboard

KPI cards: Total Premium, Total Commission, Total Agent Commission, Agency Revenue, Total Policies, Active Carriers. Area chart with 12-month trends. Carrier breakdown by premium and commission.

Organization Setup

When you register, you create a new organization and become the owner.

  • Organization name identifies your agency
  • All data is isolated to your organization
  • Learning patterns are organization-specific

User Management

Access user management from the Organization page in the app.

  • Invite users via email
  • Change user roles (owner/admin only)
  • View and cancel pending invitations

Inviting Users

Send email invitations to add team members:

  1. 1Go to Organization → Invite User
  2. 2Enter email and select role
  3. 3Share the invitation link with the user
  4. 4User creates username and password
Invitation links expire after 7 days.

Common Issues

No matches found

  • • Check that comparison columns are correctly mapped
  • • Verify data formats match (dates, numbers)
  • • Try fuzzy matching for name columns

Missing records in report

  • • Check "Solo en" sheets for unmatched records
  • • Verify the correct pages were selected for PDFs
  • • Ensure header row is properly detected

Wrong commission totals

  • • Verify commission column mapping is correct
  • • Check for duplicate records in source files
  • • Ensure numeric format is consistent

File Format Errors

"Unable to parse file"

The file format is not recognized. Ensure it's a valid CSV, Excel, or PDF file.

"No data found in PDF"

The selected PDF pages don't contain extractable tables. Try selecting different pages or use Excel/CSV instead.

"Header row not detected"

The system couldn't find column headers. Ensure your file has a clear header row.

Low Confidence Detection

When column detection shows low confidence:

  • 1Review the column header — Unusual names may not match patterns
  • 2Check sample values — Do they match the detected type?
  • 3Correct the mapping — The system will learn for next time
Universal Learning: Once you correct a column name, it applies to ALL carriers/AMS systems using that same column name.
