We collect information you provide directly to us when you create an account, use our services, or contact us for support. This includes:

• Commission files you upload for processing
• Usage data and analytics
• Communications with our support team

We automatically collect certain information when you use our service, including IP addresses, browser type, and usage patterns to improve our service.

We use the information we collect to:

• Provide, maintain, and improve our services
• Process your commission files and generate reports
• Learn your column mappings so future files are detected automatically (what is learned from your files is used only for your organization)
• Send you technical notices and support messages
• Respond to your comments and questions
• Monitor and analyze trends and usage

We implement industry-standard security measures to protect your data:

• All data is encrypted in transit (TLS 1.2 or higher)
• Data is stored on encrypted disks
• Each organization's data is kept separate from every other organization's
• Passwords are stored as one-way hashes, never in plain text
• Access within your organization is controlled by user roles

Uploaded files and the report files generated from them are deleted automatically 30 days after the last activity on the job. Download any report you want to keep before then.

Reconciliation results, agent commission history, agent payments and saved AMS templates stay in your account until you delete them or close your account. You can ask us to delete your data earlier at any time.

We do not sell your personal information. We may share your information only in the following circumstances:

• With your consent or at your direction
• With the service providers listed below, only as needed to run the service
• To comply with legal obligations
• To protect our rights and prevent fraud

The service providers we use are:

• Anthropic (AI): column names and sample rows from your files, PDF pages that need AI reading, and questions you send to the in-app assistant. Under Anthropic's commercial terms, data sent through its API is not used to train its models.
• Stripe (billing): your card details go directly to Stripe; we never see or store them.
• Google Analytics (website analytics): only if you accept analytics cookies.
• Proton Mail (email delivery): verification codes, invitations and replies to your messages.
• Our hosting provider: the servers where the application and database run.

Commission Wizard is operated from the United States for insurance agencies in the United States. Your information may be processed in the United States and in other countries where the providers listed above operate.

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your data
• Export your data in a portable format
• Opt out of marketing communications
• Lodge a complaint with a supervisory authority
